Job Title: Facilities Manager

Reports To: Chief Operating Officer
FLSA Status: Full-Time, Exempt

The Southern California Institute of Architecture (SCI-Arc) is seeking an enthusiastic and experienced individual to become the new Fa The Southern California Institute of Architecture (SCI-Arc) cilities Manager.   The new Facilities Manager would be joining the SCI-Arc community at an exciting time in our school’s history as we have just purchased our campus located in the regenerating area of downtown Los Angeles called the Arts District.  We have exciting plans for new renovations as well as acquiring other properties in the area.  This position is a great opportunity for someone that wants to be part of a diverse community of 500 students, 80+ faculty and 50 staff.  SCI-Arc brings together accomplished architectural professionals who encourage creativity, share knowledge, and foster independence by focusing on the individual learning experience.  SCI-Arc emphasizes communication and direct responsiveness to student concerns, thereby avoiding the cumbersome bureaucracy inherent in large organizations.  The atmosphere is informal, collaborative and supportive.

The Facilities Manager is responsible for the maintenance, repair and the supervision of modifications to SCI-Arc facilities and properties.   The position is responsible for assisting the creative endeavors of students and faculty as it relates to facilities.  

Essential Duties and Responsibilities:

  • Oversees all aspects of building maintenance and repair including, but not limited to, HVAC, electrical, plumbing, doors/locks, lighting, janitorial service, and grounds maintenance
  • Where assigned, supervises work of contractors performing modifications to the buildings including: budget supervision, security of building sites, integration of building processes with the operation of the school
  • Oversees security of the building and parking grounds, including the security system, fire alarm system, and prevention of vandalism 
  • Assigns work and supervises activities of contract janitorial crew and security guards 
  • Responsible for SCI-Arc’s compliance with fire and building code regulations and Federal and State health regulations as they pertain to facilities.  Available on-call for facilities/security emergencies
  • Negotiates with vendors for contract services
  • Manages copiers, security system, fire alarm, elevator, fork lift, scissor lift and other facility related equipment
  • Coordinates safety programs and fosters good working relationships with LA County Fire Department, Hazmat, and insurance companies.  Develops and enforces emergency evacuation plan.
  • Investigates security breaches and provides written reports on these to school leadership and to the appropriate police agencies where required
  • Investigates accidents occurring on site, reporting these in writing, coordinating emergency response in real time
  • In accordance with the needs of students, faculty, and staff, ensures the efficient and proper use of facilities for classes, student projects, and special events, including coordinating the use of materials and labor as they relate to such activities
  • Coordinates event setups and tear downs
  • Assists with event calendar
  • Prepares studios for incoming students
  • Storage planning/management both onsite and off-site
  • Conducts daily campus inspections
  • Provides periodic orientation to new students and faculty on facility related issues
  • Provides point of contact for external users of SCI-Arc facilities and, where requested, provides  integrated support to vendors used by the external users

Qualifications and Experience:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • 5+ years of experience with facilities management
  • Supervisory experience
  • Safety/emergency planning experience
  • Knowledge of OSHA regulations and experience in OSHA  compliance
  • Ability to manage several projects simultaneously
  • Ability to read blueprints and architectural drawings
  • Ability to supervise building trades
  • Ability to communicate clearly, sensitively,  and persuasively  with  students, faculty, staff and vendors
