OVERVIEW
The Facilities Coordinator assists in coordination and delivery of Facility services for the Santa Monica Office. The Facilities Coordinator assists the Manager, Facilities in ensuring all facility requirements and office personnel requests are handled effectively, and the facility is well maintained and presentable in appearance.
RESPONSIBILITIES
- Coordinate Facilities staff in execution of facility services.
- Coordinate and respond to facility-related requests and inquiries; ensure timely and quality service.
- Identify, coordinate and oversee preventive and general maintenance of equipment, furniture and fixtures.
- Coordinate and oversee building vendors, contractors, suppliers and contracts; monitor performance against cost and schedule requirements.
- Oversee setting up workspaces for new employees, internal office moves, conference room scheduling, set up and tear down.
- Responsible for record-keeping of all repairs, preventative maintenance, inspections, etc. Ensure records are complete and up-to-date.
- Assist Manager in monthly and yearly budget reconciliation, reports and data entry.
- Manage inventory of facility and office supplies.
- Manage invoice coding, processing, tracking and filing.
- Assist Manager in ensuring building is maintained for code compliance/government regulations; identify, coordinate and complete action items.
- Perform regular safety inspections of facility including fire extinguishers and exit signs; responsible for emergency preparedness and ensuring all employees evacuate building when fire alarm is activated, ensure evacuation plan and required training is conducted.
- Generate and/or update facility information, reports, correspondence and other documents.
- Provide staffing back up as needed, such as reception and general facilities support, e.g. stocking, conference room clean up, cleaning.
- Perform miscellaneous administrative duties including copying, scanning, faxing, shipping, expense reporting, scheduling meetings and running local facility-related errands.
- Perform other duties as assigned.
QUALIFICATION AND SKILL REQUIREMENTS
- Minimum three years facilities experience in an office building environment.
- Entertainment industry experience preferred.
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Budget and/or accounting experience preferred; ability to understand budget principles required.
- Excellent interpersonal skills including ability to interact effectively with staff at all levels of organization, vendors, contractors, high-profile and other external clients.
- Excellent customer service skills with a professional phone manner.
- Excellent verbal and written communication skills.
- Strong organizational, project and time management skills; proven ability to organize and prioritize work, multi-task and successfully complete tasks and projects in a fast-paced, deadline-oriented environment.
- Strong analytical and problem solving skills.
- Proactive, detail-oriented and resourceful.
- Team-player, flexible, adaptable, personable and able to work well with others, take direction and fulfill responsibilities under stress or pressure with minimal direct supervision.
- Proven self-starter with strong work ethic, self-motivated, resourceful, conscientious, punctual, energetic, diplomatic and tactful.
- Proven ability to handle confidential and sensitive information with tact and discretion.
- Strong computer skills including Outlook, Microsoft Word, Excel and Internet savvy.
- Comfortable and experienced in using basic tools.
- Must be able to walk, climb stairs and ladders, reach overhead, squat, bend, kneel, stoop and crouch frequently and lift up to 25 pounds.
- Must have a valid driver’s license and reliable transportation.
WORKING CONDITIONS
Ability to work evenings and weekends as needed perhaps with short notice.
